A leading media organisation working with top entertainment outlets across television, podcasts, and digital channels acts as a liaison between high-profile talent and clients, managing schedules, contracts, and logistics to deliver a seamless booking process.

The Challenge

The organisation relied heavily on Excel spreadsheets to manage critical data, including:

  • Talent profiles requiring frequent updates.
  • Client details spanning game shows, late-night programmes, podcasts, and more.
  • Contact information for publicists, hosts, producers, and agents.

This manual approach created inefficiencies, increased the risk of errors, and raised security concerns due to limited control over spreadsheet access. The goal was to reduce manual workload and implement a media bookings digital platform that would: centralise and secure data, automate repetitive tasks, improve collaboration across teams, and enable faster, more reliable workflows.

The Solution

Our development team designed a bespoke media web app tailored to the client’s needs. The platform allows internal users to create, store, search, and update records seamlessly. Key features include:

  • ‘Thinklists’ – A collaborative space for brainstorming talent ideas for specific shows or podcasts. Linked to Talent and Client records, ensuring real-time updates and easy access.
  • Promotional Database – Consolidates data for upcoming events such as book launches or award shows. Multiple talents and contacts can be associated with each record, with custom filters for quick searches by location, date, or award status.
  • Pitching & Blast Emails – The ‘Autopitch’ feature enables users to generate and send customised emails directly from the platform using a built-in HTML editor, streamlining communication with contacts.

System administrators have full control via a Maintenance page, allowing them to manage users, update permissions, and import data from Excel files.
